We collect personal information that is reasonably necessary to deliver our services and run our business.

Information you give us directly

Your name, email address, phone number, and time zone when you book a session, join a waitlist, sign up for a free resource, or contact us.

Responses to intake forms, including details about your presenting pattern, what you have tried before, what the pattern costs you, and relevant health, lifestyle, or background context you choose to share.

Payment information when you purchase an offer. Payment is processed by Stripe; we do not store your full card details on our systems.

Communications you send us, including emails, voice notes, and messages.

Information collected automatically

Website usage data via cookies and analytics tools (pages visited, device type, approximate location, referral source).

Email engagement data (opens, clicks) when you receive emails from us.

Information from third parties

Booking and scheduling information from Calendly when you book a session.

Limited transaction data from Stripe (amount, date, last four digits of card, country).

3. Why we collect it and how we use it

We use your information for the following purposes:

To deliver the service you have booked (session preparation, the session itself, the post-session deliverable, follow-up integration support).

To communicate with you about your booking, including confirmations, reminders, and any necessary rescheduling.

To process payments and issue receipts or invoices.

To send you marketing emails about our offers, content, and resources - only if you have opted in. You can unsubscribe at any time.

To improve our services, website, and content.

To meet our legal, tax, and regulatory obligations.

4. Sensitive information

The nature of this work means that intake forms and session conversations may include information you consider sensitive - including details about your mental health, trauma history, physical health, relationships, or family. We treat this information with particular care.

We only collect sensitive information that is directly relevant to delivering the work, and only with your consent (which you provide when you complete the intake form or share information in session).

Session notes are kept securely and used only for delivering your personalised post-session deliverable, preparing for future sessions if you continue with us, and case-study learning (de-identified).

We will never share identifiable details from your session with anyone without your explicit written permission — with the limited legal exceptions noted in our Terms (e.g. mandatory reporting obligations or imminent risk of serious harm).

5. Who we share your information with

We share your information only with the third-party service providers required to operate the business. Each has its own privacy policy, which we recommend reviewing:

Stripe: payment processing.

Calendly: session booking and scheduling.

GoHighLevel (GHL): customer relationship management, email, and forms.

Zoom: video session delivery.

Google Workspace: email and document storage.

Canva: production of personalised post-session deliverables.

We do not sell, rent, or trade your personal information to third parties. We will only disclose your information outside of these service providers if required by law or with your explicit consent.

6. International data transfers

Several of the service providers listed above store data outside Australia (primarily in the United States and the European Union). By using our services, you consent to your information being transferred to and stored in these jurisdictions. We take reasonable steps to ensure these providers handle your data securely and in line with the Australian Privacy Principles.

7. How long we keep your information

Booking and payment records: retained for at least 7 years in line with Australian tax law.

Intake forms, session notes, and post-session deliverables: Retained for 24 months from your last session with us. If you return for further work within that window, the retention period resets. After 24 months of no contact, your session-related notes are deleted.

Email correspondence: Retained for up to 24 months from our last interaction, then deleted unless ongoing business need requires otherwise.

De-identified case examples: We may retain de-identified examples (with all identifying details removed) indefinitely for teaching and case-study purposes.

Marketing list data: retained until you unsubscribe or request deletion.

Website analytics: retained as per the policies of the analytics provider.

8. Cookies

Our website uses cookies to remember your preferences, analyse traffic, and — if applicable — support advertising. You can control cookies through your browser settings. Disabling cookies may affect site functionality.

9. Your rights

You have the right to:

Request access to the personal information we hold about you.

Request that we correct any inaccurate or outdated information.

Request that we delete or de-identify personal information we no longer need to retain, subject to legal and business record-keeping obligations.

Withdraw your consent for marketing communications at any time.

10. How we protect your information

We take the privacy of what you share with us seriously — especially because the nature of this work means intake forms and sessions often touch on sensitive personal, emotional, and health-related information. The practical steps we take include:

Limited access.

Identifiable client information is accessible only to Ari and, where strictly necessary, a small number of trusted contractors bound by confidentiality (for example, a virtual assistant or bookkeeper).

Strong account security.

All systems holding your information — including GHL, Stripe, Calendly, Google Workspace, Zoom, and Canva — are protected by strong, unique passwords and two-factor authentication (2FA) wherever it's offered.

Encrypted in transit.

Our website, payment processing, and email use industry-standard encryption (HTTPS / TLS) to protect data as it moves between you, us, and our service providers.

We use established third-party providers that maintain their own security and compliance measures.

We use established, well-resourced service providers (listed in Section 5) who maintain their own security standards and compliance frameworks.

Minimum necessary data.

We only collect information that is reasonably necessary to deliver the work and run the business. We don't ask for sensitive data we don't need.

Secure session notes.

Notes from your session are stored in a restricted-access location, used only to deliver your personalised post-session document and to inform any continuing work with us, and are not shared with anyone outside our business without your written consent (subject to the legal exceptions in our Terms).

No payment card storage.

We never see or store your full payment card details. All payments are processed by Stripe, which is PCI-DSS compliant.

While we take reasonable steps to protect your information, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Children

Our services are intended for adults aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected such information, please contact us and we will delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. The current version will always be available at this URL with the effective date at the top. Significant changes will be communicated by email where reasonably possible.
